The thank-you email that actually helps you get the offer

The exact structure of a post-interview email that adds signal instead of just being polite.

5 min read Updated November 1, 2025

Most thank-you emails are throwaway. The good ones tip decisions. Here's the shape.

Send within 24 hours

Same day is best. After 48 hours the decision has usually already been made.

Four short paragraphs

  • Thanks + one specific thing you enjoyed from the conversation.
  • One added detail or answer to a question you didn't fully answer.
  • One reason you're excited about the role, specifically.
  • Clear next-step invitation.

Send one per interviewer

Slightly different in each — reference what you actually talked about with that person. Don't blind-cc.

FAQ

Is a thank-you note old-fashioned?

No — in surveys, over 60% of hiring managers still expect one, and roughly 20% quietly penalize candidates who skip it.
